The limitations of a legacy RFP system

Before SiftHub, the solutions and proposals team at Allego used another leading SaaS RFP tool. While the tool was extensive in its capabilities, it still presented the team with some significant challenges when it came to productivity. 

“Each customer seems to have their own specific RFP or Infosec response format and using our incumbent tool involved multiple steps like: exporting the questionnaire from Ariba, uploading it to the tool, needing to specifically identify the questions and possible response format options for each question, and then assigning them to the relevant subject matter experts. The whole process of setting this up was anywhere between a half day to a full day’s work depending on the complexity of the questionnaire.” Ben Johns, Senior Proposal Manager at Allego, explained.

In addition to this, a lot of vendors today don’t allow for their security questionnaires to be exported out or imported back in, making the process even more time-consuming. License limitations and a cumbersome interface for non-users of the incumbent tool to join a project to help with reviewing or approving answers made the entire product experience extremely clunky. 

“The keyword search was also not great. I’d always have to set up specific guardrails to try and narrow down the search, but even then the tool would often pick out a few irrelevant keywords and answer questions based on those.”

Allego’s current use case for the SiftHub platform is focused around boosting sales productivity and completing questionnaires faster to ultimately shorten deal cycles and the users are mainly the Allego solutions and proposals teams.
